COMMITTEE MEETING HELD ON 7TH JANUARY 2009

Matters
Arising
We have received the free voucher from the Trail Riding
company in Wales and will ask Bruce to advertise them on our website.
JS
We have booked the function room at the Home Cottage for the
AGM.
We have booked a table at the Red Lion Betchworth for the
committee night out on 31st January.
Secretary’s Report
We received an email from the South Eastern Centre Group
informing us of the AGM on 14th January. We decided to nominate Jim Connor for the role of SE Centre
President and Jan will write to confirm this. JS
Treasurer’s Report
We currently have £345.00 in the current account, and £14,078 in the tracker account.
Editor’s Report
David will be stepping down as Editor at the AGM but is still happy to produce the Newsletter, effectively taking on the role of Sub Editor. We need to find someone willing to chase copy and compile the content of the Newsletter.
David had mailed out approximately 460 magazines in December 2008.
David asked for details of the new logo as well as a list of dates and venues.
Membership
Secretary’s Report
We
presently have 27 adult renewals for 2009, plus 15 junior and 1 social; out of
these 8 have taken the family membership.
Shelley is
happy to continue dealing with the membership.
Competition Secretary’s Report
Our next
trial will be at Beare Green on 18th January.
Pete is
sorting venues and dates for our trials for 2009.
We struggle
to get observers sometimes (eg Star Group trial) and Pete will use the website
more to see if this improves matters.
Richard is
trying to get new land to use for trials and thinks we should use Sparticles
Wood more although some clearing will be required. It would be good for evening trials.
Social Secretary’s Report
Our
committee night out has been booked at the Red Lion at Betchworth on Saturday
31st January.
Star Group Trial
We had 37
riders on the day, giving £570 income.
We paid £200 for land, £225 for insurance and £30 for food for the
observers, leaving a gross profit of approximately £100.
The meeting
room has been booked at the Home Cottage, Redhill, on 25th February,
7.30pm for 8.00pm start, buffet to be provided at 9.00pm.
We may not
run a trial at this year’s Camping Weekend.
We obtained feedback from the attendees of last year’s event and most
people said they would be happy with this as long as something was planned for
the Bank Holiday Monday. If we went
ahead with this decision, we would encourage members to ride in our August
South Coast Trial at Don’s, so they would still have the opportunity to ride
that month.
Antony Read
had raised concerns with Richard about the proposed increase in trial entry
fees from £12 to £15. The Committee had
discussed this at length at a previous meeting and felt the increase was
justified as land and insurance costs had increased and we spend a reasonable
sum of money producing an excellent Newsletter. We will bring figures to the AGM to support our argument but will
keep the entry fee for our January trial at £12. Eric has since confirmed
that Bognor club will be charging £15 per rider in 2009, Horsham Riders £12 per
rider and South Coast also £15 per rider.
Jan raised
the subject of the Information Sheet and Membership Packs that were discussed
in September 2007. Richard will do some
work on these. RC
